Safety Administrative Assistant

The Safety Admin is responsible for a variety tasks related to both Safety and Claims including documentation, filing, maintaining  and creating spreadsheets and communicating with a wide variety of personnel (internal employees, vendors, claimants, attorneys/legal and medical personnel)

Job Functions:


  • Handles all safety related paperwork for field safety meetings and audits and regularly updates information in excel

  • Responsible for emailing Safety related announcements internally (in English and in Spanish)

  • Schedules all safety related training using TEEX

  • Orders safety related supplies and equipment as needed


  • Records all claim information from claimant and initiates the investigation process (sends email requesting detailed written statement and photos)

  • Checks in with injured employees and documents any additional updates

  • Responsible for scanning/filing claims paperwork

Creates and maintains spreadsheets related to:

  • Safety meetings

  • Accident documentation

  • Training

  • Claims spreadsheet

  • Lawsuits spreadsheet


  • MUST be Bilingual in English and Spanish (read, write speak)

  • Excellent communication skills - Must be able to communicate with wide variety of personnel including office personnel, field employees, medical personnel and claimants

  • Must be proficient in MS Office (Word and Excel)

  • Bonus if certified in CPR, First Aid and AED training

  • Notary public is a plus
